How We Collect, Use, Store and Protect Partner Data

Overview
Tentosoft Solutions Private Limited, trading as TentoVision ("TentoVision", "we", "us", "our"), is committed to protecting the personal data of our Partners and their authorised users. This Partner Privacy Policy explains what personal data we collect when you register and operate a TentoVision Partner Account, why we collect it, how we use it, and what rights you have over it.
This Policy applies specifically to Partners — businesses and their designated users who operate Partner Accounts at app.tentovision.com. A separate End User Privacy Policy governs the personal data of customers onboarded by Partners onto the TentoVision platform.

We handle your personal data in accordance with all applicable data protection and privacy laws in the jurisdictions in which we operate and in which our Partners are located. Our practices are designed to meet recognised international standards for responsible data handling.
1. What Data We Collect About You
We collect personal data about you in the following ways:
1.1 Data You Provide Directly
When you register a Partner Account, we collect:
- your company name, registered address, and business type;
- the name and email address of the primary account contact;
- contact telephone numbers;
- bank or payment account details (for commission payments);
- tax registration numbers and other identifiers required in your jurisdiction; and
- any branding assets, logos, or business descriptions you upload to the Partner Portal.
You may update this information at any time through the Partner Portal settings.
1.2 Data Collected Automatically
When you or your authorised users access the Partner Portal or the TentoVision platform, we automatically collect:
- login timestamps and session durations;
- IP addresses and approximate geographic location;
- device and browser type and operating system;
- pages visited, features accessed, and actions taken within the Portal;
- API call logs (for Partners using TentoVision's APIs); and
- error and diagnostic logs.
1.3 Data Collected in Connection with End User Management
As you use the Partner Portal to set up and manage end users, we collect:
- end user account details you enter on their behalf (name, email address, camera details);
- details of subscription plans activated for end users;
- details of Sub-Dealer accounts created by White-Label Partners; and
- network device information identified during camera discovery on end user premises.
We store device and network information only for cameras you actively add to the platform.
1.4 Communications Data
If you contact our support team or correspond with us by email, we retain records of those communications. Support tickets are managed through a third-party helpdesk system.
2. Why We Use Your Data and Our Legal Basis
We process your personal data for the following purposes, each supported by a recognised lawful basis under applicable data protection law:

3. Video Data
Your Partner Account includes access to a demo environment for up to 5 cameras with up to 7 days' cloud recording. Any video recorded in this demo environment is stored in the TentoVision cloud and automatically deleted after the applicable retention period.
We will access video data only in the following circumstances:
- with your express written consent, for example to assist in diagnosing a technical issue; or
- where we are required to do so by a valid court order, law enforcement request, or legal process.
You remain the data subject (or the equivalent legal status under applicable law in your jurisdiction) in respect of video data generated through your Partner Account and the accounts of your end users.
4. How Long We Retain Your Data
We retain your personal data for as long as your Partner Account remains active and for a reasonable period afterwards to meet our legal, accounting, and dispute resolution obligations. Specific retention periods include:
- Account data: retained for the duration of the Partner relationship and for 3 years following account closure.
- Financial records (invoices, payment records): retained in accordance with applicable statutory accounting and tax requirements in the relevant jurisdiction.
- Support communications: retained for 2 years from the date of resolution.
- Access logs and security data: retained for 12 months.
- Video data in the demo environment: automatically deleted after the applicable retention window (maximum 7 days).
Once data is no longer required, we delete or anonymise it securely.
5. Who We Share Your Data With
We do not sell your personal data. We share it only as necessary:
5.1 Within TentoVision
Your data is accessible to TentoVision personnel who need it to deliver the Partner Program, including our engineering, support, finance, and partner success teams.
5.2 Third-Party Service Providers
We use carefully selected third-party vendors who process personal data on our behalf under binding agreements, requiring them to maintain appropriate security and use the data only for permitted purposes. These include:
- cloud infrastructure providers (including Amazon Web Services) for platform hosting and video storage;
- payment processors for commission disbursements and invoice collection;
- customer relationship management software for Partner onboarding and account management;
- helpdesk software for support ticket management;
- email delivery platforms for service and marketing communications; and
- analytics tools for platform usage monitoring.
5.3 Legal and Regulatory Disclosures
We may disclose personal data where required by law, regulation, court order, or at the request of a competent regulatory or governmental authority in any jurisdiction. We will notify you of any such request where we are legally permitted to do so.
5.4 Business Transfers
If TentoVision undergoes a merger, acquisition, or sale of all or part of its business, personal data held by TentoVision may be transferred to the acquiring entity. We will ensure that any such transfer is subject to appropriate confidentiality and data protection safeguards, and we will notify you in advance where practicable.
5.5 Cross-Border Data Transfers
Personal data may be stored and processed in jurisdictions where TentoVision or its service providers maintain infrastructure. Where cross-border transfers of personal data occur, we implement appropriate safeguards in accordance with applicable data protection laws to ensure your data is adequately protected regardless of where it is processed.
6. Data Security
TentoVision implements appropriate technical and organisational security measures to protect your personal data against unauthorised access, disclosure, alteration, or destruction. These measures include:
- encryption of data in transit (TLS) and at rest;
- role-based access controls limiting access to personal data to authorised personnel only;
- regular security assessments and penetration testing;
- multi-factor authentication for access to internal systems; and
- incident response procedures including breach notification protocols.
In the event of a data breach affecting your personal data, we will notify you and, where required, the relevant regulatory authority, in accordance with applicable law and within the timeframes it prescribes.
7. Your Data Protection Rights
Depending on the laws applicable in your jurisdiction, you may have some or all of the following rights in relation to personal data we hold about you:
- Right of access: You may request confirmation of whether we process personal data about you and obtain a copy of that data.
- Right to correction: You may request that we correct inaccurate or incomplete personal data.
- Right to erasure: You may request deletion of your personal data where it is no longer necessary for the purposes for which it was collected, subject to our legal retention obligations.
- Right to complaint: If you are not satisfied with how we handle your personal data, you may raise a complaint with the relevant data protection authority in your jurisdiction.
- Right to object or restrict processing: You may, in certain circumstances, object to or request restriction of the processing of your personal data.
- Right to data portability: Where processing is based on your consent or a contract with you, you may have the right to receive your personal data in a structured, machine-readable format.
- Right to withdraw consent: Where we process your data on the basis of consent, you may withdraw consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out before the withdrawal.
- Right to nominate: Where permitted by applicable law, you may nominate another individual to exercise your data protection rights on your behalf.
To exercise any of these rights, please contact us at info@tentosoft.com. We will respond within the timeframe required by applicable law in your jurisdiction, and in any event within 30 days. We may need to verify your identity before processing your request.
8. Deleting Your Partner Account
If you wish to close your Partner Account, please email info@tentosoft.com. Upon account deletion:
- your email address and contact details are removed from our active database immediately;
- video data in your demo environment is permanently deleted within 48 hours;
- financial records required by applicable law are retained for the applicable statutory period; and
- anonymised usage analytics may be retained for platform improvement purposes.
Once video data is deleted, it cannot be recovered. Please download any video you require before requesting account deletion.
9. Cookies
The TentoVision website (www.tentosoft.com) and Partner Portal (app.tentovision.com) use cookies and similar tracking technologies to:
- maintain your login session securely;
- remember your preferences and settings;
- analyse how Partners use the Portal so we can improve it; and
- detect and prevent fraudulent or abusive activity.
You can manage cookie preferences through your browser settings. Disabling certain cookies may affect your ability to use some features of the Portal. We do not use cookies to track you across third-party websites for advertising purposes. Partners accessing the platform from jurisdictions with specific cookie consent requirements (for example, the European Union) should be aware that additional consent mechanisms may be presented to them at the time of access.
10. Changes to This Policy
We may update this Policy from time to time to reflect changes in our practices, the services we offer, or applicable law. When we make material changes, we will notify Partners by email and update the policy version date. Continued use of your Partner Account after the effective date of any change constitutes acceptance of the updated Policy.

If you are not satisfied with our response, you have the right to lodge a complaint with the relevant data protection supervisory authority in your jurisdiction.
12. Limitation of Liability
Nothing in this Policy limits or excludes TentoVision's liability where such limitation is prohibited by applicable law, including any mandatory consumer protection or data protection legislation in your jurisdiction.
Subject to the above, TentoVision shall not be liable for any indirect, incidental, special, exemplary, or consequential damages arising from data processing activities conducted in compliance with this Policy and with applicable law. This Policy should be read alongside the liability provisions in your Partner Program Agreement, which sets out the applicable cap on TentoVision's aggregate liability to you.
